Client Onboarding Portal

When we started taking on more group itineraries, the handover between our travel researchers and clients began to feel scattered. Requests arrived over email, phone calls, and WhatsApp, and details about preferences, budgets, and travel dates were getting lost in the shuffle. We needed a single place where a client could see their trip plan taking shape, confirm choices, and share feedback without chasing us for updates.

The portal we built is a simple, password-protected space tied to each booking. Once a client confirms a trip, they receive a link that opens a page with their draft itinerary, the day-by-day schedule, and a list of pending decisions like hotel category, pickup point, or whether they prefer a morning or afternoon departure. Our team updates the same page as we lock in transport and stays, so the client always sees the latest version instead of a chain of forwarded emails.

What made the difference was keeping the scope tight. We did not try to build a full booking engine or a payment flow. The portal only handles the planning stage, from the first draft to the final confirmed route. That decision kept the project manageable and made it genuinely useful for the way our team works.

The rollout took about three weeks, including testing with two pilot groups travelling to Himachal Pradesh and Kerala. The feedback was consistent: clients appreciated seeing their plan evolve in one place, and our team stopped duplicating information across different tools. We now use the portal for every custom itinerary, and it has become the default starting point for new trip requests.
